Why every organisation needs an AI acceptable use policy

Your staff are probably already using AI tools. A short, clear policy protects your clients' data and lets your people use AI with confidence.

Ask your team how many of them used ChatGPT, Gemini, Copilot or a similar tool last week. In most organisations the answer is “most of us”, often through personal accounts that nobody approved.

That is not a reason to ban AI. These tools can save hours on drafting, summarising and analysis. It is a reason to agree some rules.

What can go wrong

  • Personal data leaves your control. When a staff member pastes a customer complaint, a CV or a beneficiary list into a public AI tool, that information is processed by a third party. The Nigeria Data Protection Act 2023 still applies.
  • Confidential information leaks. Contracts, financial figures and strategy documents can end up in tools whose terms allow the provider to keep or use what you enter.
  • Wrong answers are sent as facts. AI tools can produce confident text that is incorrect, including invented references and figures.
  • Decisions become hard to explain. If AI helps decide who gets a loan, a job or a service, you need to be able to explain and review that decision.

What a good policy covers

An AI acceptable use policy does not need to be long. It should answer six questions:

  1. Which tools are approved, and which accounts staff should use (for example, an enterprise account rather than a personal one).
  2. What information must never go into AI tools, such as sensitive personal data, client confidential documents and passwords.
  3. What needs a check before use, such as content sent to clients or published.
  4. Who is accountable for AI generated work. The answer is always a person.
  5. When AI may not be used, for example for final decisions about individuals without human review.
  6. How to ask, so staff have someone to go to when they are unsure.

Making it stick

A policy only works if people know it and understand why it exists. Pair it with a short practical workshop using real examples from your organisation’s work, and review it every six to twelve months as tools change.

Nigeria’s National AI Strategy points to stronger AI governance in the years ahead. Organisations that set sensible rules now will find it easier to adapt.
